Photo Services Policy

Purpose

The Office of Campus Communications team provides photo services to campus partners to:

  • Document and promote select campus events and celebrations that cultivate a culture of community, student success, and institutional excellence.
  • Support presidential initiatives and the Fullerton College Strategic Plan.
  • Generate evergreen, multipurpose, and cross-media stock assets for internal and external communications, marketing, and social media content.

Guidelines

All photo requests must be submitted via the Communications Request Form at least 3 weeks in advance. Please complete all required fields to the best of your ability. Requests submitted through this form will take precedence over informal or verbal requests.

Photo requests are evaluated individually by the Office of Campus Communications. Final decisions are influenced by stock image needs, team availability, and the nature of the event. The Office of Campus Communications reserves the right to decline any request.

Annual cultural events are reviewed for uniqueness compared to previous years and alignment with current stock imagery needs. If new elements have been added to the event that may warrant photo coverage, please include those details in the request form.

If the team is unavailable to support an event, the following alternatives may be offered:

  • Live social media coverage on official channels
  • Photography best practices guidelines (for camera or mobile devices)

To promote strategic event planning and efficient use of our team’s resources, most photo coverage will be limited to 1 to 1.5 hours. Coverage will focus on capturing the essence of the event, including:

  • Featured speakers
  • Event atmosphere
  • Key performances
  • Group photo with stakeholders and attendees

The Office of Campus Communications will collaborate with the requester to determine the most effective plan for capturing the above elements.

Delivery

A curated selection of 50 or fewer photos from the event will be edited and uploaded to the district’s PhotoShelter. The link will be shared with the requester using the official request email thread.

Turnaround time ranges from same-day delivery to five (5) business days, depending on workload and event priority.

Photos will be exported and shared as JPEG files at 300 dpi. If web or print optimized formats are required (such as 72 dpi for web and CMYK color space for printing), please contact Johnny Moon at jmoon@fullcoll.edu

Edited photos will remain available on PhotoShelter for a minimum of 5 calendar years. After this period, archived images may be removed or relocated based on storage capacity and relevance.

The Office of Campus Communications does not distribute unedited or RAW image files. Only curated selections will be shared for official use.

Usage

All photos are copyrighted by Fullerton College and are licensed for official use only. Unauthorized reproduction, editing, or redistribution is prohibited without written permission from the Office of Campus Communications.

Photos may be used for promotional purposes across official college platforms. These platforms include, but are not limited to:

  • Digital and social media
  • Print publications
  • Pole banners
  • Web content
  • Marketing campaigns

The use of these images is intended to support the college’s mission and strategic initiatives. Redistribution or use of these photos by external parties must be approved by the Office of Campus Communications.

Privacy and Consent

Fullerton College grounds are publicly accessible, and attendance at campus events implies consent to be photographed. However, the college is committed to respecting individual privacy and ensuring ethical photo practices.

  • Event organizers are responsible for informing attendees that photography may occur.
  • Individuals who do not wish to be photographed should notify the event organizer or photographer in advance.
  • For events involving minors or individuals requiring additional privacy considerations, organizers must ensure that appropriate image release forms are collected and securely stored.

Multimedia image release form is available for submission in the “Photography and Videography” page. If you have completed, printed forms, you may submit them our office in Building 100, Room 113 for archival.
